ATS systems reject resumes for specific, fixable reasons. Here are the most common ATS resume mistakes — with a precise fix for each one — so your resume gets seen by an actual human.
Applicant Tracking Systems do not reject resumes because you are unqualified. They reject resumes because of specific parsing errors — formatting they cannot read, keywords they cannot find, or file types they cannot process. Every one of these is fixable.
This is a targeted list of the most common ATS resume mistakes, with a precise fix for each.
Mistake 1: Two-Column or Multi-Column Layout
Why it fails: ATS reads left-to-right, top-to-bottom in a single text stream. Two columns get merged — your left column content runs directly into your right column content, producing garbled text that the system cannot classify.
Fix: Convert to a single-column layout. In Word: Layout → Columns → One. You will need to reorganize the content after converting. For complex layouts, rebuild using FixResume's free resume builder which uses ATS-safe single-column templates.
Mistake 2: Contact Information in Document Headers or Footers
Why it fails: Many ATS systems skip the document header and footer areas entirely, treating them as decorative rather than content. Your name and contact information disappear from the parsed data.
Fix: Move all contact information — name, email, phone, LinkedIn — into the body of the document as normal text at the very top. In Word: double-click the header area → cut your contact info → close the header → paste at the top of the document body.
Mistake 3: Using Tables for Layout or Content
Why it fails: ATS parsers read table cells in unpredictable order — sometimes row by row, sometimes column by column. Skills listed in a table may be read out of sequence or missed entirely.
Fix: Replace table-based layouts with plain text. For skills sections: use a simple comma-separated list or categorized plain text. In Word: select the table → Table Layout → Convert to Text → Separate text with: Tabs.
Mistake 4: Text Boxes and Shapes
Why it fails: Text inside Word text boxes, call-out boxes, or shape overlays is not part of the document's main text stream. ATS treats it as invisible — the content simply does not exist in the parsed output.
Fix: Delete all text boxes and shapes. Move any content inside them into the main body of the document as regular paragraphs or bullet points.
Mistake 5: Image-Based PDF
Why it fails: A PDF built from Canva, Figma, Adobe Illustrator, or scanned from paper is an image file. ATS cannot extract text from an image — it reads the resume as blank.
Fix: Test by opening your PDF and trying to select text. If you cannot, rebuild your resume in Word or Google Docs and export as a text-based PDF. The select-text test is the fastest diagnostic you can run.
Mistake 6: Using Synonyms Instead of Job Description Language
Why it fails: ATS keyword matching is string-based. "Account management" and "client relations" may mean the same thing to a human but are different strings to ATS. If the job says "account management" and your resume says "client relations," you do not match that keyword.
Fix: Read the job description and identify the exact terms used for the skills you have. Use that exact terminology in your resume — not your preferred phrasing, theirs. FixResume's AI fixer automates this by comparing your resume against the job description and realigning your language automatically.
Mistake 7: Creative Section Headings
Why it fails: ATS systems look for specific labels to classify your information. "My Journey" instead of "Work Experience" or "What I Know" instead of "Skills" prevents the system from correctly categorizing your content.
Fix: Use standard section headings: Summary, Work Experience (or Experience), Education, Skills, Certifications, Projects, Volunteer Experience. No creative alternatives.
Mistake 8: Visual Skill Bars or Rating Icons
Why it fails: Graphical elements like skill bars, star ratings, or icon rows are images or shapes — not text. ATS cannot read them. Your proficiency levels disappear entirely.
Fix: Replace visual skill ratings with plain text. "Python (advanced), SQL (intermediate), Tableau (familiar)" communicates the same information in a format ATS can parse.
Mistake 9: Leaving the Target Job Title Out of Your Resume
Why it fails: Some ATS systems score resumes higher when the target job title appears somewhere in the document — particularly in the summary. Leaving it out misses an easy alignment signal.
Fix: Include the job title you are targeting in your professional summary. "Senior Product Manager with 7 years of experience..." if you are applying for a Senior Product Manager role. Mirror the exact title from the job posting.
Mistake 10: Inconsistent Date Formatting
Why it fails: ATS systems parse dates to calculate tenure and timeline. Mixed formats ("Jan 2022" in one role, "01/22" in another, "January 2022 – Present" in a third) can confuse the parser and cause employment gaps to appear where none exist.
Fix: Use one date format throughout. Standard: "Jan 2022 – Mar 2024" (abbreviated month, full year). For current roles: "Jan 2022 – Present." Apply the same format to every entry.
Mistake 11: Special Characters and Unusual Symbols
Why it fails: Bullet characters that are not standard Unicode, decorative dashes, or foreign characters copied from design software can produce encoding errors in ATS output — turning your text into symbols.
Fix: Use standard bullet points (•) or dashes (-). Avoid decorative symbols, smart quotes in technical contexts, or any character that looks unusual in plain text. Run the plain-text test: copy everything into Notepad and check that all characters look correct.
Mistake 12: PDF Headers Containing Critical Information
Why it fails: Some people add page numbers, their name, or "Page 1 of 2" in the PDF header via Word's header feature. As noted above, many ATS systems skip these — so whatever is in the header is invisible to the parser.
Fix: Do not use Word headers or footers for any content that needs to be parsed. If you want your name on the second page, add it as normal text at the top of the second page instead.
